Ultimate guide to HootBoard Pricing

HootBoard Pricing Explained: Plans, Licenses & Engagement Units

Choosing the right HootBoard plan comes down to understanding three things: how many Interactive Kiosk and Digital Signage licenses your locations need, how many team members will be posting content, and how Engagement Units work behind the scenes to track usage. This guide breaks down everything you need to know about HootBoard's pricing structure so you can pick the plan that fits your organization today and scales with you as you grow.


HootBoard Plans at a Glance

HootBoard offers five flexible plans, each designed for organizations at different stages of their digital signage and interactive kiosk journey — from a single visitor center getting started to multi-building campuses and citywide deployments.

  • Launch — Our free plan. Perfect for organizations just getting started with digital signage and interactive kiosks. Includes 1,000 Monthly Customer Engagements (800 Web/Mobile + 200 Kiosk).
  • Connect — Built for small teams. Includes 2 Interactive Kiosk Licenses, 2 Digital Signage Licenses, and up to 5 Posting Members.
  • Reach — Ideal for growing organizations. Includes 3 Interactive Kiosk Licenses, 3 Digital Signage Licenses, and up to 10 Posting Members.
  • Engage (Best Value) — Our most popular plan. Includes 4 Interactive Kiosk Licenses, 4 Digital Signage Licenses, and up to 15 Posting Members.
  • Activate — Built for large-scale deployments. Includes 5 Interactive Kiosk Licenses, 5 Digital Signage Licenses, and up to 40 Posting Members.

Every paid plan is available on monthly or annual billing, and annual billing saves you 15% compared to paying monthly.


Interactive Kiosk vs. Digital Signage Licenses

HootBoard Screen Licenses come in two types:

  • Interactive Kiosk Licenses — for touchscreen kiosks where visitors can browse content, get directions, and interact directly with your board.
  • Digital Signage Licenses — for non-interactive displays that showcase rotating content, announcements, and playlists.

Each paid plan includes a bundled number of both license types. Need more screens than your plan includes? You can add extra Interactive Kiosk or Digital Signage licenses to any paid plan at any time, and volume discounts are automatically applied as you scale up.


Posting Members

Posting Members are the people on your team who can create, edit, and manage content on your HootBoard. Every plan includes a set number of Posting Members, ranging from 5 on Connect up to 40 on Activate. If your team grows beyond your plan's included member count, additional members can be added for a small per-member monthly fee that varies by plan — check your Admin Menu for exact rates on your current plan.


Understanding Engagement Units (EUs)

Engagement Units are how HootBoard measures meaningful interactions with your board — a visitor viewing a Hoot, playing a video, opening the calendar, following your board, and similar actions all count as one Engagement Unit each.

Here's the part that trips people up: your free Engagement Unit allowance is split into two separate pools — one for Web & Mobile usage, and one for Kiosk usage:

  • Web & Mobile: 1,000 free Engagement Units per month, shared across your board's web and mobile visitors and members.
  • Kiosk: 200 free Engagement Units per month, shared across any additional free (unlicensed) kiosk screens on your board.

Here's an important distinction: licensing a paid plan does not put your official, licensed kiosks on this 200-unit shared pool. For example, if you're on the Reach plan with 3 Interactive Kiosk Licenses, those 3 licensed kiosks operate independently of the shared free-kiosk pool. However, if you spin up additional kiosk screens beyond your licensed count — using them as free/trial screens — those extra screens draw from the same shared 200 Engagement Unit pool. Once that pool is exhausted for the month, some features and functionality on those additional free screens will be restricted until your usage resets or you upgrade with more licenses.

HootBoard tracks Engagement Unit usage daily and will alert you as you approach your monthly limit, so there are no surprises. You can always monitor your usage — and see exactly how many units you've used and how many remain — right from your HootBoard Admin Menu.


Where to Find Your HootBoard Pricing

Your current plan, license count, billing cycle, and Engagement Unit usage are all available directly inside your HootBoard account. To view or change your plan:

Go to: Your HootBoard → Admin Menu → Licenses

From there, you can compare plans, add additional kiosk or signage licenses, switch between monthly and annual billing, and track your Engagement Unit usage in real time.
